Privacy notice
Plain English version: this website collects nothing about you. When you get in touch, we keep what you tell us for as long as we need it to quote for and do the work, and we don't give it to anyone else.
Who we are
Maple Tree & Gardening Services, a tree surgery and garden maintenance business based in Troon, South Ayrshire. We are the data controller for the information described here.
Contact: 07853 224528 or Email Gordon.
What this website collects
Nothing. There are no cookies, no analytics, no advertising pixels and no tracking of any kind. Fonts and images are served from this website itself rather than from Google or any other third party, so your visit isn't shared with anyone. That's why you aren't being asked to accept a cookie banner — there is nothing to consent to.
The quote builder on the contact page runs entirely inside your own browser. What you type there is never sent to us or stored anywhere; it is only used to write out a message for you to send yourself through WhatsApp.
Our web host keeps standard server logs, which normally include IP addresses, for security and to keep the site running. That is handled by the host under their own privacy terms.
What we collect when you get in touch
If you contact us by WhatsApp, phone, text or email, we will normally hold your name, your phone number or email address, the address or postcode of the property, and whatever you tell us about the job — including any photographs you send. If we carry out work, we also keep the quote, the invoice and the payment record.
Why we hold it, and on what basis
- To answer your enquiry and give you a price. Lawful basis: taking steps at your request before entering a contract.
- To carry out the work, arrange access and get paid. Lawful basis: performance of a contract.
- To keep invoices and accounts. Lawful basis: legal obligation under tax law.
- To deal with any complaint or dispute afterwards. Lawful basis: our legitimate interest in defending the business.
We do not send marketing, and we don't add you to any mailing list.
If you message us on WhatsApp, that conversation also passes through WhatsApp Ireland Limited, part of Meta, who process it under their own privacy policy. We have no control over that and can't change it. If you would rather not use WhatsApp, phone or email works just as well.
Who else sees your information
Nobody, unless one of these applies: our accountant, for invoices and tax; the providers we use to run the business (phone network, email provider, web host), who process it on our behalf; or someone we're legally obliged to give it to. We never sell it or pass it to anyone for marketing.
How long we keep it
Enquiries that don't turn into work are deleted within about twelve months. Where we did the work, we keep records for six years after the end of the relevant tax year, which is what HMRC requires.
Photographs
We take before-and-after photographs of the work, and some appear on this website. We avoid anything that identifies a household, and we blur vehicle registration plates. If a photograph of your property is on here and you would rather it wasn't, tell us and we'll take it down — no explanation needed.
Your rights
Under UK GDPR you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict or stop using it, or object to us using it. Just ask — by phone, WhatsApp or email — and we'll deal with it within one month. There's no charge.
If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd rather you told us first so we can put it right.
